Job Description

Key Responsibilities:

Administrative Support:
Provide general administrative support to the office, including answering phones, managing correspondence, scheduling meetings, and handling office supplies.
Manage phone and email correspondence.
Prepare and process documents, reports, and presentations.
Assist with office organization and maintain filing systems (both physical and digital).
Coordinate and arrange travel, meetings, and events as needed.

Accounting Support:
Process and review invoices, ensuring accuracy and adherence to company policies.
Communicate with vendors to resolve billing issues and discrepancies.
Assist with the preparation of AP reports and month-end closing activities.
Generate and send out invoices to clients/customers.
Monitor and track outstanding receivables, following up on overdue payments.

Qualifications:
High school diploma or equivalent; associate's degree or relevant certification in accounting or business administration preferred.
Proven experience as an Administrative Assistant or similar role with a focus on AP/AR.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with accounting software (e.g., QuickBooks, or similar).

Experience with QUICKBOOKS is required.
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent communication skills, both written and verbal.
High level of attention to detail and accuracy in financial transactions.
Ability to maintain confidentiality and handle sensitive information.
