Job Description

To assist in the effective operation of the company and in achieving the Strategic Objective through implementing administrative services systems that support and optimize the manager’s ability to manage time and resources to achieve optimum results.

Responsibilities

  1. Provide administrative and clerical support to assigned personnel.
  2. Maintain filing systems and retrieval of documents to include documenting processes and running ad hoc reports.
  3. Archive correspondence in approved software and other locations as requested.
  4. Coordinate department/cross department meeting and/or event logistics (invites, room and equipment reservations, refreshments, meal ordering)
  5. Coordinate and order meals for in office events and at departments’ requests including weekly subsidized lunches.
  6. Make travel arrangements: airfare, transportation, hotel, meals and entertainment with clients and others as requested.
  7. Process manager’s expense reports.
  8. Reconcile manager’s personal credit card statements with expenses submitted
  9. Run reports in installed software such as Service Desk, Nexonia, NetSuite, SuperOffice, etc.
  10. Works closely and backs up other administrators when out.
  11. KPI Monthly client reports
  12. Ticket categories for KPI reports
  13. Wealth Scorecard and Profitability Report
  14. Monthly NPS Survey Reports

Qualifications

  1. High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  2. 3-5 years of proven experience as an administrative assistant or in a similar role.
  3. Experience managing travel arrangements and schedules.
  4. Experience organizing events and meetings.
  5. Proficiency in MS Office and other administrative software (Service Desk, Nexonia, NetSuite, SuperOffice).
  6. Microsoft Excel – Intermediate to advanced skills.Must be able to create pivot tables.
  7. Excellent verbal and written communication.
  8. Strong organizational and time management abilities.
  9. Attention to detail and problem-solving skills.
  10. Strong interpersonal skills for client and team interactions.
  11. Ability to handle confidential information.
  12. Ability to work in an office every day.
  13. Experience in a corporate environment preferred.
