Job Description

We are seeking a hands-on Workplace Services Coordinator to join our Corporate Facilities team and directly support day-to-day workplace operations at two facilities in Canonsburg, PA. This is not a contract administration role — instead, this individual will focus on supporting facilities maintenance , coordinating workspace setups , and ensuring the office operates smoothly and efficiently.

You'll be the go-to resource for handling facility-related service tickets, conducting audits, setting up seat assignments, and assisting in space planning — all while maintaining a positive workplace environment.

Key Responsibilities:1. Workplace & Facilities Support:

  • Respond to and resolve workplace maintenance tickets in coordination with the facilities team and external vendors.
  • Assist in space planning, seating assignments, and office moves.
  • Conduct seating audits, property access audits (e.g., parking, gym, after-hours, elevator).
  • Support office setup or teardown projects during team transitions or organizational changes.

2. Office Coordination & Administrative Support:

  • Maintain office supply inventories and handle snack restocking across both facilities.
  • Support daily office operations, including mail handling, visitor coordination, and meeting room logistics.
  • Help prepare reports, documentation, and updates related to workspace operations.
  • Manage internal communications and updates related to facilities operations.

3. Facilities Inspections & Compliance:

  • Assist with routine safety and 5S inspections, identifying and reporting potential hazards or compliance issues.
  • Follow up on 5S findings to ensure timely resolution and workspace efficiency.
  • Maintain documentation related to safety inspections, seating plans, and vendor activities.

4. Vendor & Team Coordination:

  • Help coordinate vendor access and scheduling for maintenance and repair services.
  • Work alongside internal facilities teammates on travel to additional locations when needed (e.g., for office setup/decommissioning).
  • Support team-wide projects and assist other departments as required.

Qualifications:

  • High school diploma or equivalent (Associate’s or relevant coursework in facilities/office admin is a plus).
  • Minimum 1 year in a facilities, administrative, or office support role, preferably in a corporate setting.
  • Proficient with Microsoft Office, ServiceNow, Nuvolo, SharePoint, and other workplace collaboration tools.
  • Strong attention to detail, excellent organization, and ability to prioritize and self-manage.
  • Excellent interpersonal and communication skills across all levels of the organization.
  • Knowledge of facility health/safety practices and space planning is helpful but not required.

Work Conditions:

  • Hybrid schedule: Monday–Thursday onsite, Friday optional remote.
  • May require lifting/moving light office equipment or supplies.
  • Occasional after-hours work during moves or office setups.
  • Travel limited to business-related needs only (<10%), with mileage reimbursed.
